Online checking of Microsoft Planner Tasks upon Creation or Completion using Flow

Hi All,

I thought I would post this update as I have learnt a lot from reading multiple posts on here and I thought I would share ... if anyone wants details.

 

I have 12 Plans across multiple departments of about 30 employees.

All the Plans are common layout with identical Bucket and Label structure and guidelines for how the data should be entered, and consistency standards, documented for employees using Planner (unfortunately these cannot be enforced at time of entry).

 

I have built a single Child Flow, which was called by 24 other Flows (one Flow for the Creation trigger, and one Flow for the Completed trigger, for each of the 12 Plans).

 

This child flow gets the Task ID, the User ID of who last created/completed the Task, and other parameters, passed in.

 

In the case of the creation trigger the Child Flow waits 5 minutes before starting, as at time of creation trigger a User can only enter 3 fields - Title, Due Date and Assignments, so this delay gives them time to enter the remainder before the Child Flow commences.


It runs a wide series of checks on the data and then sends the person an email highlighting their errors for correction (if applicable).

 

It cross checks everything within Flow (no other external data manipulation) :

  • Title (we have a naming convention for first 5 characters)
  • Due Date
  • Assignments
  • Labels (yes even these which cannot be directly referenced in Flow as they are hidden fields)
  • Checklists (yes even these which cannot be directly referenced in Flow as they are hidden fields)
  • Bucket

The “rules” we use won’t apply to your situation but the concept is transferable.
