Getting your data…

I have a huge Power BI with multiple tables. The requirement from my stakeholders was to have a write back functionality for when they select a record in the PBI dashboard. I created a PowerApp (first time ever) for this.

I started off by creating a separate excel file on OneDrive which has more than 8,000 records and a limited set of columns which I want to be updated for write back on record selection. I ensured that the file size is less than 2MBs, which I guess is a requirement for OneDrive excel files used as data source in PowerApps. This file was also integrated into PBI as a table. And then the app was created, and the overall write back functionality is working.

But now I am stuck. My excel file has more than 8,000 records. When I select a record in PBI, the Gallery shortlists that record but the Form does not load, and I keep getting this message – “Getting your data…”. After a lot of R&D, I realized that the Form is displaying data only for the first 500 records of the excel file. Googling this also confirmed it.

Guidance will be helpful on:

  • Confirmation of what is happening is truly a limitation in PowerApps
  • Workarounds/suggestions on how to overcome this

The current limitation is a showstopper for me. I would be highly grateful for any support you all can provide.

PS – I am not a programmer, just trying my hands on something new

    @nishankbajaj ,

    You can increase the limit to 2,000, but getting any more out of an Excel data source at once is problematic.

    I suggest you switch your data source to SharePoint.

    @WarrenBelz

    Thank you for your confirmation that this is a limitation. Instead of SharePoint, can I also work on SQL to overcome this?

    Hi @nishankbajaj ,

    You can, but it is a Premium Connector requiring a "per user" Licence of up to $40 US per user per month.
