Load Sharepoint List

Here are the steps to replicate the issue.

 

1. Create a list in Sharepoint Online, by importing a table from Excel

2. In Power Apps, create data connection to that list

3. Now, delete that list in Sharepoint Online

4. Import the same table from Excel

5. In Power Apps, refresh the data connection to that Sharepoint list

6. Error

 

When you try to click edit data, it will redirect to that Sharepoint List. It has data in it. But in Power Apps, it just won't load the same table. From what I know is that Power Apps is referencing Sharepoint List by ID and not by name. Can Power Apps refrence a Sharepoint List by name instead of ID? How?

    Hi @Pelangi ,

    Your last comment identified the issue - Power Apps connects to the ID of the SharePoint list and the new list is a separate item, so to answer your question, you need to delete the connection and then add the new list as a new data source.

    Yes. If that data connection is widely used in many Power Apps screens or UI, then changing the data connection would also mean changing all of the impacted UI as well. Is there another efficient way of doing this?

    Hi @Pelangi ,

    Assuming the name and field structure of both Lists are the same, everything else will work (if it did not, switching from test to prod data would be very challenging).

    Name and structure are the same. But it doesn't work, as you can see in the screen shot.

    @Pelangi ,

    As I noted, you need to remove the old list and reconnect to the new one. My response was concerning your comment then changing the data connection would also mean changing all of the impacted UI as well.

    That is actually the point. It would be troublesome to change all impacted UI in this case.

    @Pelangi ,

    I may be misunderstanding something here, but the UI is not impacted if a "clean" swap of identical lists in both name and structure is done. You need to delete the old ones first before you connect the new ones, but other than that, it transitions fine.

    Deleting the old link, then creating a new link with same name. No issue with this task. The problem is, all UI components are bound to the old link. These UI components are not willing to divert instantly to the new link, even though it has the same name in Power Apps or in Sharepoint List.

    It's the reason why I made this post. If we can just change the "property" of the link to use name instead of ID to Sharepoint list in order to avoid the troublesome impact when we delete and recreate a new one.

    @Pelangi ,

    I do this process on a regular basis moving apps between test and prod data. The lists are identical in all respects, but on different SharePoint sites. Following the process I outlined, the UI resolves itself immediately the new lists are connected after first removing the old ones. The only possible issue I see here is that the Excel import (creating a list from this is not a good idea for many other reasons) may not create the same structure every time.
