Multi Layer Approval Flow

Hello all

 

I need to create a new Worflow in Power Automate for our Sharepoint Online Site.

I never did this before and having troubles getting started, i watched a few videos but havent found what i am looking for.

 

Starting an the Beginning and explaining what I need. We have a form and in that Form there is a atribute called Status. In there there are like 4-5 different Options to choose. One of the is "Ready waiting for Approval". So i need to start my Flow when this Attribute is changed to the mentioned status. How can i define that the flow starts only when this attribute is set like above? I only found a starting Point saying when an element is changed or deleted. I need the change only and only when "Ready waiting for Approval" is set.

 

Can anyone help me

    By Form are you referring to Microsoft Forms OR a SharePoint List Form ?

    I found out by my own mistake how to start with it. Can i somewhere change the Emailadress from which the Message is sent? Right now the Email is sent by my own Emailadress, but i need to send it from the Team-Email.

    How did you fix it? I think correct approach here is to use Trigger Condition. You should add a trigger condition like status = Ready waiting for approval. This way, flow will only be triggered when status changed to that.

    Outlook connector in flow will always send email from your inbox. For More Generic email, you will have to use Send email notification action from sendgrid which is microsofts connector of generic email. Note that it has limitations to send around 100 emails a day I think.

    Thats how i solved it, i did not know that the flow is so intelligent when i typed i the words was looking for a drop down menu to select it.

     

    I have another issue. I set a trigger that an email will be sent to the person who needs to approve/decline. I also get a Microsoft Teams Message an an Email. I did not set a Teams Connetor but still i am notified there.

     

    Do u know how to fix that issue?
