Advice needed ! SubmitForm - Several lists / Powerapps formula vs Powerautomate flow ??

Hello,

I'm having issues trying to set up a quite complex workflow.

I'll try to sum up the situation with the diagram below :

RSygroves_0-1712225184103.png

There are 2 distinct applications involved in my process :

- Requests app (= requests can come from various sources, incl. Companies)

- Companies app (= based on two parallel lists : Companies and Contacts, which allows me to manipulate and display several distinct contacts for a particular company)

Both applications work fine.

What I want to achieve :

When a new request is submitted in Requests app, IF it comes from a company =>  check if the company exists in Company list

- If YES : add a new contact in the Contact list

- If NO : add a new company in the Company list AND add a new contact in the Contact list

I thought the best way was using Powerautomate Flows* with conditions. I set up my flow which is correct (no error), but it doesn't run so well as it writes 100 times the same item in one list or the other (depending on the condition).

+ I have another issue, because the Request app also has an "answer" screen, and I'd like the answer to be added to the Contact lists. Again, the second flow runs fine, excepted the fact that each item is duplicated 100 times...

Should I rather send the informations directly from my Request app instead of using Flows ?

(e.g. OnSucces form property with If statements and Patch function to retrieve fields and add it to the other lists)

Thanks for your advices

R.

* Triggers are :

- for "new request" flow  : Sharepoint list trigger "when an item is created" (in Request list)

- for "answer" flow :  Sharepoint list trigger "when an item is created or modified" (in Request list)

I don't know how to delete this message.

Finally, I'm working on a Patch function to achieve my needs, it works pretty well, excepted the fact that some of my SP list text fields are empty ...
