What's the best way to connect multiple lists to my excel workbook?

Hi all,

*I was directed here by the Microsoft Learn Community* I was looking into some ideas to re-create a system that our previous SharePoint (Classic) had set up. We utilize SharePoint Online now and our previous SharePoint (Classic) doesn't exist anymore. I've researched a ton, but I'm not sure how they were able to do it, but possibly through Power Apps, Power Automate, InfoPath, etc.

So I have an Excel Workbook called "HazMat AULs" that has multiple sheets. The Master sheet has all items (3,367 items), and the other sheets are 'sections' that contain items available to that 'section'; People belonging in that section are only able to order items on their excel sheet. I thought about creating a dependent drop down in Power Apps, but there's too many items.

Some ideas I had but not sure how to do it:

  • When the 'AUL Excel' is updated, then the 'AUL List' is updated (I'm DoD so I'm not able to import excel into Power Apps)
  • The AUL List is able to print out onto the Official format for all 'sections' (as seen on the 'HAZMAT AULs')
  • Any SharePoint List is able to pull items directly from the 'AUL Excel' (no AUL List needed)

What I currently have:

  • A SharePoint List where I copied the 'Master AUL' sheet from the excel workbook that people are able to order from. But the Master sheet sometimes changes and people are able order any item on the Master AUL, which isn't allowed.
  • Functional flows in Power Automate for all Lists that pull information from the 'Master AUL' List
  • Forms in Power Apps that people can order items through.

By luck, I only have a few screenshots and files left behind from the previous SharePoint (Classic). Below are images that could help with ideas possibly:

Screenshot of the Master AUL in previous SharePoint. They had a column to the far right, showing "Applicability" of items to the 'sections':

Screenshot of excel sheet created for a specific section (section 440). Seems they added an 'X' in first column for applicability, then uploaded it to the SharePoint List somehow? :

Would anyone be able to provide assistance or even a link to a tutorial of a similar situation? It'd be greatly appreciated. Thanks for your time!
