Help with Updating a SharePoint list with user input.

Hi all,

 

I have a Flow, that sends an email with a link to a Form when a SharePoint list is updated with Start Process.

 

I then have a trigger for Form Submission to capture the users response and update the list back. This worked fine when I was testing with one list item update.

 

However, when I updated multiple list items, all of them were waiting for a Form Submission and are triggered on the first Form submission and updated all the list items.

 

Can anyone suggest a workaround for this please.

    Is that Microsoft forms you are using?

     

    Could you post a screenshot of your flow?

    Thank you for your reply.

     

    Yes I am using MS Forms. After building the flow I realised that there is no unique identifier for the Form submissions, hence all my flows that are waiting for a From Submission are triggered. 😞 

     

    Please suggest me any alternatives.

    Hi @GowthamR ,

     

    The structure of your Flow is that you want to send multiple emails to different restaurants, and then update their corresponding items after receiving their respective replies, right?

     

    The feature of When a response is submitted Action shows that it is difficult to realize in one Flow, so you need to create a new Flow and move all the operations after you send the email to the new Flow.

    Because Responder email can be obtained in the Response of Form, you could get the corresponding restaurant in the list according to the email.

    Thank you for your reply and suggesting a solution.

     

    This will not work for my scenario.

     

    There will be multiple request sent to each restaurant and their responses will need to be captured for that particular list item.

     

    I am trying a backup plan, Instead of sending a Form, I create a temp list and pre populate it with the List item I want to update and send the user link of the Edit form for temp list item.

     

    Then I have another Flow, that checks when a list is updated and updates the original list with the responses.

     

    I then delete the temporary list item.

     

    Is it a bad way to do it? But it serves what I want to achieve.

    Hi @GowthamR ,

     

    The Flow provide previous will trigger When a new response is submitted as soon as a restaurant submit response . It's not one-time, whatever how much request be sent to restaurant.

     

    It can also update list item you want in the master list or temp list, you can set two variables after get the response to store the Date and Store Name, and then Get items to update the corresponding item using the data of Form response submitted. It is not necessary to create a temporary to check list whether updated.
