I have a process in which folks send over documents for approval to a team mailbox. The team mailbox is accessible by 4-5 people. The outcome of the application is either approval or revision requests. For a bunch of reasons, including the fact that the revision requests are quite detailed, I have not automated this into an approval flow.
What I would like to do is: instead of having people email the documents to the team mailbox - which is a bit messy as human often don't use the correct subject line etc, making it difficult to deal with later - I want to have them upload the documents via a Microsoft Form, so that I can generate the email to the team mailbox and attach the uploaded documents.
So far, so good.
However, upon receipt of the documents in the team mailbox, I have to create a task in Kanban planner, place it in a specific bucket and assign it to one of the aforementioned 4-5 people to review. If the task already exists in the Kanban board, then it needs to be moved to a particular bucket. This is what I would like to automate - triggered by "When a response is submitted" (Microsoft Forms). But I am struggling a bit when it comes to dealing with the Kanban board - how to create a task card, and more importantly, how to find one (and whether one exists for this specific task).
Any help would be appreciated. Many thanks!
