Same Name Multiple Times in Get Rows, send one email containing all row information

Hi all,

Looking to see if someone can help with trying to identify the right steps I need to take with the following:

I have an excel list which records license status for our employees. Against that list are sites and names.

For each Manager name in the list I need to take all the ones with status not equal to Active and send that Manager a single email containing all the not equal to results.

Example of list:

As you can see, I have a number of status's where its not listed as active, so once I day I want to send the manager a single email in the morning stating, 'These are the license numbers under you that are not active'.

I just cant seem to work out the logic.

Thanks

    Hi @Deano12

    Here's a proposal:

    1. Trigger using a Schedule
    2. Get all values from Excel.
    3. Create an array variable
    4. Create a loop
    5. Create a condition inside the loop
    6. If the values are the one you need append to the array variable
    7. In the end, create an HTML table
    8. Use that HTML table in the body of the email

Can you please check if and let me know if you have any questions?

    Thank you for this.

It does meet what I need in part of the way.

The "List rows present" is already filtered to only bring back those not equal to "Active". So I don't need the condition on that one.

The trouble I'm having is to go through the manager column distinct the values in there so that if there are 5 rows with 'Dean' as the manager, it will only create one HTML table but contain all of the not equal to 'Active' values.

At the moment, when I put the condition in and select 'For Each, Manager' it adds a secondary 'For Each' operation, which then created multiple HTML tables for the same manager over and over for each row that has that managers name in that column.

This is where I am stuck currently:

    Hey @Deano12 ,

Do you think you can first build up a helper "Managers" table in the workbook (probably in a separate worksheet)? This table contains distinct manager names and emails.

Then you can first read rows from the Managers table then loop through it and:

    * Use the manager name as the filter query for the "List rows present in a table" action against the actual licenses data table.

    * Build up the HTML table based on the result from the "List rows present in a table" action

    * Send email with the HTML table to the manager email address (which is in the current loop item)

You probably need to manually build and maintain the managers table to make sure it's up to date with all the managers' names and email addresses. It might be possible to build it dynamically but the solution will be much more complicated.
