Secure Invoices File Download

Hi,

we would like that Customers can download their Invoices.

We can show them a List of the Invoices related to their account.

- How do we add a Download Button to the List?

- How can we make sure that the File can only be accessed by logged in Users?

If we do it as a webfile, I assume that the File is public in the Internet and anyone who guesses the GUID could access it.

Thanks!

Hi, a few things here you might be looking into:

    • Enable Entity Permissions to make sure the users can only access their own records
    • Enable Web Page Access Controls Rules to make sure only logged in users can view the Web Page with the invoices
    • In your Entity List you can enable the download button, which allow the user to export the list as an excel file
    • Optionally you can add custom print function if you want to export as PDF (I have an article on that: http://oliverrodrigues365.com/2018/04/25/dynamics-365-portals-exporting-content/)

    hope this helps

You mentioned Web File in your post you do not want them as Web Files if they are private, you will want to do it as a Notes attachment or use the SharePoint integration (where you can setup access via the Web Roles and associated entity permissions).

    Thanks for the input!

Okay, so I now have a list of invoices which are secured using Entity Permissions.

I would like that the File Download starts when clicking on the Name of the Invoice in the Entity list

    OR

that the there is an extra column in t he Entity list with a little Download Icon.

So there won't be a Details Page of each invoice, but you can download the PDF directly from the Entity List.

Could you point me in the correct direction to achieve this?

I saw that in the "Entity List" Options Tab I can configure "Grid Configurations", where I could redirect to an URL when clicking on the name - but I don't know what URL I should redirect to as it seems to be static.

    Thanks a lot!

Hi, on this article I do something very similar, but instead of PDF it is the Word Document: http://oliverrodrigues365.com/2020/05/24/power-apps-portals-generate-and-download-word-document-from-an-entity-list/

You can change a few things in my approach and generate a PDF instead, for example:

    • when the invoice is created, you can trigger a Workflow that will generate the Invoice based on the Word Template (similar to what I have in the article)
    • then you can have a Power Automate Flow that will convert that word document to a PDF, and finally updating the Invoice with the PDF URL, so this can be downloaded in the Portal

    Hi,

    thanks this helps a lot.

    In short this means:

    - I need the URL (of the newest file) in a separate field

    - I display that column in the view

    - I will just customize some CSS so that the column does not show the Link, but rather an Icon.

I will look to get this to work with the new File type field, lets see.

    Thanks!

If all you need is a list of files that you can click to download the other option may be to use the Portals SharePoint Integration.https://docs.microsoft.com/en-us/powerapps/maker/portals/manage-sharepoint-documents
