Sharepoint list unable to edit or create new record

Posted on by 269

Hi All,

I Uploaded an existing database from Access to Sharepoint using the wizzard built into Access.

All the lists from the database uploaded successfully, however the main part of the database cannot be edited in the online sharepoint page.   when i click "+ New" or click on an item and then click "Edit" on the main list nothing happens. Has anyone got any idea why this is?

Some of the other smaller lists from the database have uploaded and these can be edited or i can creat new records, however on this particular list nothing happens.

When this list was a table on sharepoint, some of the fields were completed by using multiple dropdown boxes in order to filter the data and i'm begining to think that this could be the issue?

I have opened the list settings and checked the Type that is used for each column and they all seem to be OK, except a couple of the records which used data from other tables in access, but in my sharepoint list they are just listed as a "Single line of Text" type rather than a lookup? which i assume would be the correct type?

My issue is that when i click on edit column there doesnt seem to be an option to change the type of column to lookup? I can only change to Single line, multiple line, Choice, Number, Currency or Date and Time.

Is this error in column type likely to be the reason why i cant create a new record or Edit old records? if so, does anyone know how i can edit the columns to the right format? I have tried this using powerapps, but cant find anything n there either.

In fact in powerapps in the form designer i have linked most of the columns correctly to the data, but i'm then getting an error saying (Red circle with a cross in it) "This property expects text values, but this rule produces incompatible Control Values"

Any thoughts?

Please help!

    Hi @d3ell

Hopefully you will be able to make your app work.  If not, I'll be happy to see what else can be done.

Thank you for your response, in all honesty i never found the reason for why i couldnt add or edit the records.  I assume as you mentioned that this is something to do with one of the types of column used somewhere in the list. I have instead created a fresh list all with general column formats and imported the data back into this list and i'm doing all the lookups etc in powerapps itself.

    Hi @d3ell,

Are you still having problems with this list?  There are several reasons why a list won't update properly in Powerapps.  One is that the list may be too large.  The second is that it contains columns that are actually embedded tables.  (Lookup, Choice, People).  If you have figured out how to deal with your list, please mark this thread as solved.

It is easy to change the Choice type of column in SharePoint. You can do it on the List settings - Edit page.Capture.PNG

You could then use simple Dropdown controls  with the Items set to your choices ie ["Choice1","Choice2","Choice3"]  in Powerapps.  Lookup type columns cannot be easily changed.  What I do is create a second list for the lookups and import that into Powerapps as a second datasource.  I add the ID from this list as a column in the first list as a Number field. This is the foreign key in the first list.   Please review @Shanescows video

for the details of how to do this.

Re: Sharepoint list unable to edit or create new record

    Hi Drrickryp (Again! Smiley Happy

    Thanks for your input,

So would you recommend changing all the lookup and choices type of data to single line of text type in the whole list? Do you think this would then enable me to add a new record then or edit old ones?

I could then create all the relationships in powerapps form builder and then save and publish to use the data correctly?

    Thanks

Re: Sharepoint list unable to edit or create new record

    Hi @d3ell,

If want to save yourself a world of aggravation, do not use Person, Lookup, or Choice columns in Sharepoint.  You would be much better off adding separate lists and creating the relationships by doing the Lookups using native Powerapps functions.
