Document acknowledgement flow is stuck on "start and wait for approval" step.

Hi there,

This is my first encounter with Power Automate flows. I searched on the web but no luck, hope you can help me to get things right.

I'm trying to set up a flow to request acknowledgement of a SharePoint document. The request should be emailed to each member of an Azure AD group. Now, if I add just one or two members to the group, th flow works fine, but if I add all members (52), nobody receives the request. The flow appears to be runnig but nothing happens.

Is there any limitation as to how many users you can have in a group or is it email throttling?

 

Maybe I'm doing something wrong.

    Hi @guranchu,

     

    By default, the "Apply to each" loop sequentially, rather than in parallel, so the 52 approval requests will run sequentially, next one run needs previous end. 

     

    To run the "Apply to each" loop iterations run at the same time (concurrently or in parallel) up to the default limit, you could click the setting, turn on Concurrency control and turn up the degree, the max is 50:

    Thanks for the insight.

     

    Ok, I set degree of parallelism to 50 and I have 52 users in the group, then if 2 users click on ACK button thus ending the flow, will request start for exceeding 2 users or it will never start for anyone above the limit?

    Hi @v-litu-msft after I enabled Concurrency control the flow works well for groups with less that 50 user, I didn't try it on 50+ groups waiting for your confirmation on my previous question.


    One more thing, I noticed that confirmation entries in SP list are only created after everyone acknowledged the document, is there a way to adjust the flow so that an entry is created upon each ACK?

    Hi @guranchu,

     

    It is suggested that you take those two people out separately and suggest a parallel action. Or the 2 people will only receive the approval request after the previous 50 people completed.

     

    It's recommended that move Create item action into the first loop that create approval request, then it will create an item after one user response.

    For some reason the list contain 5 records for each acknowledgement, do you know why this is happening?

    Hi @guranchu,

     

    Maybe the create item action is stuck in a loop. You can check the running details of Flow to locate the root cause of the problem, and then drag the create item action out of that loop.

    HI @v-litu-msft It looks like with the current config when someone clicks on the link a new SharePoint list entry is created for each member of the group.

     

    I there a way I can set it to 1 entry only, created for the very user who clicked on the link?

     

    Is it possible to create SharePoint list entries for all members op the group with "Read"value set to "No" and change that value to "Yes" and add a timestamp whenever someone clicks on acknowledgment link? 

     

    I couldn't figure out how can I do that.
