Send an email afterhours flow is working, but only for the owner? not other recipients?

hi there,

 

I have a flow that sends a noreply email afterhours advising office closed. It is working correctly, however,

 

It only triggers and succeeds when it's an email sent to the owner of the flows inbox? For all the other users in the org, nothing happens? The flow  doesn't complete, I don't get any errors.

 

Has anyone got any ideas of how I can get this flow to trigger for other users receiving emails?

    Hi @eddy42552 

    So, the flow triggers if there is a new email in a mailbox afterhours and as you put in the flow owner as recipient within the "Send an email" action, the user also receives the email, but if you change the recipient to the user, who sent the email, the flow won't succeed, correct?

     

    Can you share a screenshot of the flow structure? What connectors do you use (Office 365 Outlook or another one)? You said the flow doesn't complete and doesn't show any errors. In what state is the flow? Do you see a timeout on the "send an email" action (yellow icon)?

     

    For testing: could you please open up the settings of the "Send an email" action:

    and set the retry policy to "None":

    This should prevent the action from retrying to send an email if it has some problems with it and you should see an error immediately (otherwise it tries to execute the flow again and again and doesn't run into an error immediately).

    Thanks for your reply,

     

    The error eventually came back as a timeout error. I have set the retry policy to none for testing,

    I also tried adding in the user/sender to "send an email V2" instead of "FROM" and it also didnt work.

     

    Only seems to work if i send an email to the owner,

    From my understanding, using the trigger When a new email arrives, it will only trigger for the person who's connection is setup for it. In your case, that would be your owner which is why it works for them. I don't believe you can have a trigger that would fire for all users.

    If you are talking about an email coming into a Shared mailbox, then you would use the following trigger.

    To get the flow to handle any ingoing email company-wide, create a transport rule that will bcc the email to a dedicated (shared) mailbox and run the flow against this mailbox.

    hi Victor, 

     

    Thanks for your suggestion, I gave that a try and it works well actually, as a good work around, the only issue with it is that all emails coming into the business will have to go through the noreply shared inbox, which present a bit of a security breach, as senders won't know their emails are being BCC'd onto another accessible mailbox, would there be a way around this you think? I thought about sending them to 'deleted folder' upon arrival then deleting them?

    On the shared folder? Surely you have to keep it clean.
