Repeating Tables/Multiple Sharepoint Lists

Hello all,

I'm building an app for inspecting equipment and need some help thinking about the framework.

  • Basic info (name, ID number, service status, type) for each piece of equipment exists on a SharePoint list called "Asset List"
  • There are two main variables that impact the inspection - inspection frequency which is determined by the 'type' field in the asset list, and the inspection tasks required for that piece of equipment. Each piece of equipment can have up to 15 inspection tasks, notated by Yes/No in the inspection form in PowerApps, but the tasks required varies by each piece of equipment.

My initial thought was to use PowerAutomate to duplicate items from the Asset List to a Daily Inspection List in SharePoint based on the various conditions. However, I think that there's probably a better way to do this.

Here are the main questions I have:

  • What's the best mechanism for conditionally displaying fields on a PowerApps edit screen? Of the possible 15 inspection tasks (a checkbox with true=Yes, false=no), I only want  those relevant to the Asset/Item in question to display on the inspection/edit screen based on the pre-defined list of whether it's required. Should those variables be built in a separate "variables" list?
  • What's the best mechanism for creating a daily "queue" for these required inspections? If the item is out of service as defined in the Asset List, it should be excluded. Depending on the "type" field from the "Asset List", the inspection should occur either daily or weekly.
  • The data collected from the inspection can be recorded in a separate SharePoint list, i.e. "Daily Inspections". Once the inspection is complete, it should come out of the queue, currently set up as a Gallery View in PowerApps, but I need to retain the records of the completed inspections in this or a separate list. Most of the time, the data entered from the inspection can simply be recorded and stored in this list. However, certain situations will need to update values in the "Asset List". E.g. If a problem is reported during an inspection, the equipment status needs to be changed to "Out-of-Service" on the "Asset List" so that it no longer populates in the daily/weekly inspection queue.

Thanks for the help with my first PowerApps build!

    Hi @zachinco123 ,

    So the scenario is:

    1\ A SharePoint list "Assets" with status and type columns.

    2\ Assets that of available status need be inspected everyday and save all the records.

    3\ The content or quantity of inspection tasks for each asset is different.

    Recommendations:

    1\ Asset list: Status (Text), Type (Text)

    2\ Inspection tasks list: Title column includes all tasks, Inspection assets column with LookUp type allow multiple selection look up to asset list asset name.

    3\ Daily inspection: Inspect date (Date only), Asset (Text), Inspect task(Text), Inspect result (Text))

    4\ App screens:

    1.gif

    5\ Formulas for submit button:

    ClearCollect(colTemp,Gallery2.AllItems);
    ForAll(colTemp As CC, Patch('Daily inspection',Defaults('Daily inspection'),{Title:Gallery1.Selected.Title,InspectTask: CC.LabelTask.Text,'Inspect date':Today(),Result:If(CC.Checkbox1.Value, "Yes","No")}));
    If(!IsBlank(LookUp(colTemp,Checkbox1.Value = false)), Patch(Assets,LookUp(Assets,Title = Gallery1.Selected.Title),{Status:"Out-of-service")}),Patch(Assets,LookUp(Assets,Title = Gallery1.Selected.Title),{Status:"Available"}))

    Please have a try. Hope this helps.
