Get status changes to appear in powerapps

All,

 

I'm pretty new to PowerApps and need some help trying to build an app that will allow me to see when a document status was changed and its current status. 

I have a SharePoint List that currently contains a contract document. When the contract is being signed, the 'Document Status' get's updated to In Progress. When the contract has been signed by all parties the 'Document Status' get's updated to Completed as shown below.

What I want to do is create a power app that allows me to see the audit trail of when the document status changes and the current status of the document. I.e. If a document is complete, the powerapp should show:

Name                  Document Status                         Date

Test Doc              To Do                                           10/11/20

Test Doc              In Progress                                   15/11/20

Test Doc              Completed                                   30/11/20

 

Does anyone know the best approach to take when creating this. I'm having trouble getting the previous statuses/date to powerapps I can only seem to get the current status across.

 

Any help is greatly appreciated.

    Hi @yussuf0100 ,

    Firstly, SharePoint Versioning for your Library will achieve this.

    Other than that, you would need a separate reference list and write the data to it on OnChange of the Status.

    I understand this can be done in sharepoint, however, i was wondering if there is a way to show it in PowerApps.

     

    You mentioned writing the data to a separate reference list and writing the data using the on change of the status. Can you please elaborate a bit more on how this can be done. Sorry for my ignorance, I'm just  bit new to the PowerApp world.

    You would have a list (I will call it DocStatus) pretty much the same as your example with names (I will use) IDRefDocName, DocStatus & ChangeDate (do not use Name or Date as they are Reserved Words).

    On the OnChange of Status do something like this

    Patch(
     DocStatus,
     Defaults(DocStatus),
     {
     IDRef:ThisItem.ID,
     DocStatus:Self.Selected.Value,
     DocName:ThisItem.Name
     ChangeDate:Now()
     }
    )

    Your gallery would then link on the basis that IDRef matches the ID of the current record.
