Need Help: Coworkers Can’t Access My Dataverse-Driven Power App

Hi everyone, I’m hoping some experienced Power Apps developers can help me troubleshoot this issue.

 

I’ve built a Dataverse-driven, mobile-configured Power App in the correct environment and shared it with two coworkers. Here’s what I’ve done so far:

 

✅ Shared the app from Power Apps Studio

✅ Assigned them the Basic User security role

✅ Purchased and assigned Per App licenses for both users

 

The problem:

When they try to open the app:

 

  • Sometimes it loads but doesn’t connect to Dataverse, or

  • It fails completely with an error:

    “There was an error trying to open the app.”

What I’m Looking For

 

  • Are there additional steps for Dataverse permissions beyond assigning Basic User?

  • Do I need to configure table-level permissions for custom tables separately?

  • Any tips for troubleshooting this in the modern security role editor?

    Hi, 

    You’re absolutely right to check the security roles, that’s almost always the cause in this situation.
     
    Custom tables don’t automatically inherit permissions from the Basic User role, so yes, you’ll need to explicitly grant access to those tables.
     
    However, you can’t modify the standard roles (like Basic User) directly. The best practice is to create a new custom security role that includes the necessary table permissions, and then assign that role to your coworkers.
     
    You can use the modern Security Role editor in the Power Platform admin center to do this easily.
    Also, there’s a very helpful tool in the admin center called the App access checker, it lets you test if a specific user has all the rights needed to open and use your app (Dataverse access, tables, environment, etc.). It’s a quick way to confirm whether the permissions are the issue or not.
     
    You can find the app access checker in power platfrom admin center in your environement ->Settings under Users + permissions-> Users
