Workaround for "Filter.... in" SharePoint list delegation issue

Hello,

I have the following issue.

I am designing an app that a few different schools will use. Each school can name a few people who get to display the administration screen with information for their specific school.

So, I have a SP list with an item for each school and in one field the e-mail addresses of the people who will get to see the button to navigate to the admin screens. As it stands, I have the emails separated by; within one field.

However if I use the following code, I get a delegation issue. I'm afraid that this could impact load times negatively. There will not be more than 100 list items and not more than 500 emailadresses in total in that field.

Set(
 varSchulleitung;
 First(
 Filter(
 Schulen;
 varUserEmail in appverwaltungsmail
 )
 ).Schule
)

Is there a workaround for this?

Should I use a different list for each pair of admin-email to school, so I can use filter without "in"?

    Consider this:

    Set(varSchulleitung, LookUp(Schulen, appverwaltungsmail = varUserEmail, Schule))

    Thank you.
    I have several emails in the field appverwaltungsmail.

    I would go with your approach if there was only one admin per school. But there could be several ones.

    If that's the only way to go, I'd need a separate table for the admins.

    Can you show a sample table of your list to make it clearer because i dont see any difference in the Result from your formula and what i gave except dealing with delegation.

    Sure.

    As far as I understand the difference. And please correct me if I'm wrong:
    "Lookup" requires that you give it the entire value of the field to search for, not just a part.

    "In" let's you search for whether the field contains the string that you're looking for. So, "in" seems to be the way you do a "contains"-function in PowerApps.

    Therefore, in my example, "Lookup" would not give me a result, but "in" would.

    With the Sample table you have shown, you are right: with multiple emails.

    Lets me ask, do you get the correct result with your formula but just worried about the delegation sign?

    If so that would be an issue because, you stated that the maximum is 500 records.

    Anything below 2000 would be ok. you would get the expected result provided the Delegation Limit at File---Settings is set to Maximum of 2000.

    Have you checked stated limit?

    If it works and only concern with delegation:

    ClearCollect(colSchulen, Datasource);

    Set(
    varSchulleitung;
    First(
    Filter(
    colSchulen;
    varUserEmail in appverwaltungsmail
    )
    ).Schule
    )

    ------------
