Hi Folks.

I am very new to this and not even sure if what I am after is remotely possible with Power Automate... Anyway

My organisation has a range (over 50) policies and procedures documents that are frequently updated.

We have all of these documents on one page in SP, but we also need to have some (not all) of the same files linked on a range of other pages around our site.

To do this we are just uploading the file to a folder on SharePoint, then copying the url link of this file to a range of hyperlinks on various pages across SharePoint

This means that when Policy A has had amendments, we currently need to go any find everywhere that Policy is linked to on other pages to update the URL manually.

Is there a way to automate this process where when one of these document links changes, all links to the document are updated.

We really have no idea what we are doing so please help if you have suggestions for a different process entirely.

This can be solution -

Maintain a central Document Library in SharePoint to hold the master versions of all your policies and procedures. Instead of uploading the same file across different pages, use a hyperlink that points directly to the file in the central Document Library. This way, when the document is updated, the URL remains consistent.

Using Power Automate, whenever a document is updated in the central repository-

The flow can check if the document URL has changed. If it has, you can use the "Update Hyperlink" action for SharePoint in Power Automate to update the link references on other pages.
However, if you follow the method of using hyperlinks pointing directly to the central repository, you'll rarely need this flow to execute any hyperlink changes, since the URL will remain consistent.
By maintaining a central repository and directly linking to it, you can ensure that document updates do not require URL changes on various pages. The benefit of this method is the significant reduction in manual hyperlink updates across your SharePoint site.
