Populating a People picker (combobox) on a form with people listed in a different Sharepoint list.

Hello all,

I have 2 SP Lists and 1 Form.

The form is connected to a list called TIMETABLE, This form has a field called Trainer, this is a combobox and currently shows EVERYONE in our org. I would like it to look at the list called TRAINERS and only show trainers in this list that are active.

The TRAINERS list has a people/person field and an Active (True/False) field.

Many thanks in advance.

    Hi @KWelsh ,

Set the ComboBox Items Property: You need to retrieve the list of active trainers and bind it to the ComboBox. You can do this by setting the 'Items' property of the ComboBox to the following formula:

    Filter('TRAINERS', Active = true).'TrainerName'

Replace 'TrainerName' with the actual name of your people/person field in the 'TRAINERS' list.

    1. Ensure Delegation: If the 'TRAINERS' list contains more items than the delegation limit, you may need to consider delegation. SharePoint handles delegation well for filtering on Yes/No fields, so this should not be an issue unless you have thousands of trainers.

    2. Optimize Data Retrieval: If the list is very large, consider storing the active trainers in a collection on App start for better performance.

    // On App OnStart
    ClearCollect(ActiveTrainers, Filter('TRAINERS', Active = true))

Then set the 'Items' property of the ComboBox to:

    ActiveTrainers.'TrainerName'

    Best Regards,

    Hassan Raza

thanks for you quick reply Hassan.

I have tried that but it seems to have 2 issues:

    1) It doesn't show what the current option is in that field (who is the current trainer)

    2) When I click the drop down, it shows 3 spaces but no names (there are 3 active trainers - at the moment).
