Microsoft Forms connecting to datasource

Hi,

Our organization works with over 200 casual/external staff and we hold their information in a database. Periodically (once a year), we send out a Microsoft Forms to collect new information or update old information. Currently, right now we hold that data in an excel table and have a Microsoft Form that mimics the columns of that table. Then there is a Flow that updates the table based on the Form entry.

What I am asking is that I want the Microsoft Form to pre-populate with the individuals data if they already have information within our data source and then they can fill out anything missing or update any information that way. Is this possible? Does it make more sense to transfer the excel table data to a SharePoint list for this functionality?

Ideally, I want a flow where an external staff member goes in to update/add information and once they input an identifier (employee number), the form/portal pre-populates their information and then they can edit/change any information which then in turns updates our data.

Is there a better way to do this if it is possible? Are there connections that could make this happen? Whether its MS Forms to Excel or MS Forms to SharePoint Lists or something else?

EDIT: I know within Sharepoint Lists and PowerApps, there is the ability to view/edit specific rows of data. However, is that external facing also? Can I create a PowerApps that allows an external user to put in their email and then it populates their data to which they can edit/view?

    Hi @Anonymous

Unfortunately this feature is not available in Microsoft Forms yet. Not sure whether there are any plans for this feature to implement in future from Microsoft.

    Thanks

    Hi @Anonymous

    Design the form like this.

So here I used the custom variables for each question. Download the template from advanced template from Send > Email > Import Contacts > Advanced Options > Download Advanced Template

Populate all the values which includes all the previous submission answers here against each contact.

Finally once you send the survey it will populate those values.

Not ideal but this is the only work around I can think of.

    Thanks

Is it possible if I were to do it via Sharepoint Lists and PowerApps? I know the Power Platform has Portals now and I am not sure if that is something that would work?

    Hi @Anonymous

Yes Portal might be an option. For PowerApps the user need to be under your domain. Think there is a guest account enabled access for PowerApps there. Ideally post a query under PowerApps community platform.

    Thanks
