Automate booking a staff benefit card

Hello

I work for an organisation that offers its staff the opportunity to borrow a card that gives them free access to many galleries and museums around the world. They borrow the card when going on holiday.

Its a bit like borrowing a library book.

We have 20 of these cards. Card 1, Card 2 etc etc up to Card 20.

At present our HR staff administer this scheme using emails and a spreadsheet, its very time consuming.... requests get overlooked, people forget to collect or return the cards.... etc

I would like to automate it as far as I can.

I want to do this:

Staff see "something" (calendar?? SP list??)

Staff enter a date range, for example 1 to 14 August.

They then see if any of the cards are available.

For example they might see Card 1, Card 17 and Card 20 are available.

All the others have been booked out.

They "book" say Card 1 for 1 to 14 August.

This marks Card 1 as not available for anyone else.

HR Staff get a notification that the card is booked for 1 to 14 August

A couple of days before 1 Aug HR Staff and the Staff member who booked the card get a reminder:

HR reminder says "Jim Smith is collecting Card 1 today"

Staff reminder says "Dont forget to go to HR and collect your card"

When the loan period is passed the user gets an email reminder to return the card.

The HR department gets an email reminder that the card is overdue.

Is there anything in the Microsoft 365 / SharePoint / Pwer Automate world that could do this??

Maybe Power Apps?

Thanks for any ideas 🙂

Adam.

    I have an easier solution.

What you have described sounds pretty much like a Room booking in Outlook.

You create these cards as Resources in Microsoft Entra ID and then they can simply book them using outlook.

Thanks, good idea. Would that be in Exchange Admin Centre? I dont see Resources in Entra ...
