Emailing notification when a task is *partially* completed

Hello, I have a complex request that I'm hoping a resolution exists for.

We currently have a flow in place that allows employees to request supplies for whatever work location they choose (we have several stations). The items they can request are in a multi-choice option on a form, and that request is added as a single item on a Microsoft To-Do list with the request listed in the notes.

My supervisor wants us to be able to integrate an ability to let the requestor know if only part of their request has been fulfilled. Like if they requested 3 items but only 2 were available and delivered. I know that To-Do is super limited and I'm more than open to using another app to help with this. I did some searching and could only find ways to alert people when a task is fully completed, not partially completed. I think this would require something on the end of the person fulfilling the request but I'm struggling to figure out what or how.

Any help would be greatly appreciated! Thanks so much.

    Hi,

May be this can be considered as a workaround for this.

Since there is no such trigger to trigger when tasks is partially completed, but another approach would be to run a scheduled flow.

The flow should run in regular interval of time, checks the notes and see which requests are completed.

    Take this as an example:-

    1. Assume the To do list has two tasks as shown below

Now if you see the Notes,i have added Notes like this

    Location1- New
    Location2- Inprogress
    Location3- Completed

where Location1,location2,Location3 represent each request and its corresponding status.

    Now let;s see the flow

    1. The flow should run in regular interval
    2. The flow should list all tasks in to do list

    3. Next the flow should loop through each element/task in the list and do the following actions
Next steps will be explained under loop

3.1- use get a to do action to get details of to do task in detail

3.2- use filter array to split the notes and filter out those which are completed.

    Expression -
    split(outputs('Get_a_to-do_(V3)')?['body/body/content'],decodeUriComponent('%0A'))

3.3- now use if condition to check if the filter array output has elements or not ?

if the condition is True, it means some request are completed so bot should send an email stating this many tasks has been completed
This is to be done in Yes branch, refer this sample

    Expression -
    length(split(outputs('Get_a_to-do_(V3)')?['body/body/content'],decodeUriComponent('%0A')))

This would send an email like below

Note- This approach needs to be added with one component to make sure it does not send repeated requested all time.

Suppose flow is running every one hour, task A has 4 requests added, out of 2 are completed. user has not completed other 2 tasks in next hour, so when flow runs, bot would message same 2 tasks completion to business which would be annoying, so to resolve that you need to store completion status everytime in excel/sharepoint/dataverse table and then check against it before sending email.

    Hope this helps !

Oh wow, this looks brilliant! I'll definitely get it a try and see where it goes.
Would this route also allow the ability to state which of the requested items were delivered? So we could let someone know that X and Y were delivered but not Z.

    Thanks so much!

    Hi,

well you can do using output of filter actions easily.

Like to get the details of those who have completed, you can use the output of current filter array action and another filter to get details who did not completed

Try like these modifications in code

The same filter array which i have shown in previous version but with small change in highlighted expression

    split(trim(outputs('Get_a_to-do_(V3)')?['body/body/content']),decodeUriComponent('%0A'))

Now after this , use another filter array to get count of request which are not completed as shown below
    Expression -
    split(trim(outputs('Get_a_to-do_(V3)')?['body/body/content']),decodeUriComponent('%0A'))

Now before sending email in Yes branch of if condition, do the following

Now in send email action- make the following changes

    Expression -
if(greater(length(body('Select_Not_Completed')),0),concat('Number of persons not completed: ',join(body('Select_Not_Completed'),',')),'')

These two expression will helps to add requests/person which have requests completed and not completed.

See a sample email for same

    Hope it helps !

    Thanks & Regards,
    Nived N
