Flow: Excel to Sharepoint List

Hi folks,

I have a complex excel file having 7 different sheets inside. For example: every sheet has 5 columns, so total 35 columns

Also I have a sharepoint list (existing one) having 10 columns out of those 35 (from different-different sheets).

I need to update the Sharepoint list data whenever anyone update the excel data in those specific 10 columns or add new data to those 10 columns.

For a single sheet, I am able to create a flow and it's working fine, but how we can use different sheet as source, and store/update information in sharepoint list as target location.

Kindly suggest.

Thank you.

    Hi @rsinha ,

Perhaps copy the 'apply to each' loop and add multiples of it as parallel branches hierarchically under the 'list rows present in a table' action.

    Step 1:

    Step 2:

    Step 3:

    Step 4:

    Step 5:

Repeat for each sheet/table in Excel then customize each branch per sheet/table in your excel document.

    Regards,

    Daniel

    Hi @Anonymous
Thank you for the suggestion, I have created 2 parallel branches for 2 different excel sheets datasets. Flow is running properly, but it is updating the first half in Sharepoint list, i.t only the first sheet data, not the second sheet data, I know it flows to the first half and ends there. But there is one silly question from my side:
How we can setup like first it checks on first sheet, so if is there any data addition/updation, it does so, and then move to the second sheet or more if there is any.

    Hi @rsinha ,

    I'm sorry as I didn't understand.

So you want to synchronize your SP list with a selection of 10 columns that come from different tables in your Excel workbook on a daily refresh schedule?

Excel is the primary datasource being written to SP list?

    You want the flow to:

    1. Creating new items in SP list if there are new rows in Excel.

    2. Updating items in SP list if updated in Excel.

    3. Deleting items in SP list if deleted in Excel.

    Do I have it clear?

    Regards,

    Daniel

    Yes @Anonymous
    You got it right.

I need to update the SP list according to the actions taken in multiple excel tables.

I try to make it more clear.

    lets suppose:

    Table 1has Column : A,B,C,D

    Table 2 has Column : A,M,N,O,P

Single SP List has Column: A,B,M,N,D

So whenever users make changes either in Table 1 data or Table 2, data in SP list should get updated accordingly.

    Hi @rsinha ,

I need to think about this and do some research.

There is an SP list trigger for when an item is modified but not for Excel so you would need to be able to determine when a row in a spreadsheet is created, modified and delete in order to action creating/deleting and updating the corresponding items in an SP list.

I'll try come back to you on this soon.

    Regards,

    Daniel

    Hi @rsinha ,

I found this which looks promising:

Watch the series set as he covers it over 3 videos:

    Video 1:

    https://youtu.be/YnuMFnVATuE

    Video 2:

    https://youtu.be/aNoPNcXIg08

    Video 3:

    https://youtu.be/nlw5_qV8pIo

I haven't watched them in full, only enough to believe that this should help.

I'm going to also learn from this so thanks for the opportunity to do so.

Please let me know if this helped you.

    Regards,

    Daniel

    Hi @Anonymous

I saw those videos, but unfortunately I couldn't get what I was looking for. Videos was again dealing with one Excel sheet data, not the multiple data tables as input.

    Hi @rsinha ,

I'm sorry to hear that they didn't solve your problem.

I'll keep my eyes open for solutions for you and will write back if I find anything.

In the meantime, why not add another 'Master table' in your spreadsheet and reference the columns from those other tables you need into this master.

Then use what you've learned from the videos on the master table.

You may need to write a macro to update the master table. Just some ideas for now.

Best of luck and please let me know if you solve it, what you did.

    Regards,

    Daniel

    Perhaps you
