Approvals not waiting

I have a flow that askes approval from a group of people.  It doesnt matter if they all reply or not, but i want to record their responses in a text field of a SP list item (set to append text).

  • So i have a Start and wait for approval set to Approve/Reject - everyone must approve.
  • A group of people are added to receive the approval.
  • I have set the Time out for 10 mins (for testing purposes, it will be 2 weeks in prod)
  • I have set a For each loop after the Approval to add all the responses to the relevant field.

My expected outcome is that, say its sent to 5 people, 3 people respond, after 10 mins the approval moves on and the three responses are added to my list field.  What actually happens is that when i respond, the flow moves on instantly and the other peoples emails state that someone has already responded (the approve/reject option are still there for them, they just get a pop up when they try to submit)!

Where am i going wrong?  Is there a better/different way to achieve my outcome (maybe send separate approvals to all the people?)

@StevieC , this could happen due to 10 mins timeout configured for the approval, can you remove the timeout once and test?

OK - i think ive found the issue.  If ANYONE rejects the approval, the whole approval is instantly rejected (makes sense) - so no-one else can approve or reject.

the only way around this that i can see is to create a For Each to send individual Approvals to each person with an Update Item in the for each.  i can add a timeout of 2 week on the approval which i presume will apply individually to each iteration of the approval (i could condition this so i can state who hasnt replied)

@StevieC in this case you can use Custom Responses - Wait for all responses and provide Approve and Reject Response item as shown below. This will make the flow for all responses even if one of the approve rejects.
