Agent cannot connect to SharePoint lists as knowledge base

For some reasons the Copilot Agent cannot connect to SharePoint lists that got provisioned to using SPFx (They will have the Author as SharePoint/system). The account in use has full access to those lists and can see everything but Copilot still failed to connect to them to use as knowledge base.
 
It's the same issue with Microsoft Lists, basically if the list shows up in Microsoft Lists then it can be used as knowledge base for Copilot Agent but if the list doesn't show in Microsoft Lists (probably due to the author is not the same as the current account) then it cannot be used in Copilot Agent even if the Copilot Studio user has full access to the list.

    Could you please elaborate on how you are adding the SharePoint List as a knowledge source?
    • Method 1: Browse and select the list from the available options
    • Method 2: Paste the SharePoint List URL
    If you’re using Method 2, please ensure the URL is pasted only up to the list level, for example:
    https://<host_name>/sites/<site_name>/<list_name>

    Also, are there any special considerations with your list, such as:
    • A large number of items
    • Multiple lookup columns
    • Large attachments
    These details will help in troubleshooting further.

    Here is what i have found to your question: it's not about who created the list. What Microsoft documents is that "My Lists" in the Copilot Studio picker only shows lists you've created in the SharePoint "Lists" app. Everything else appears under "Recent Lists."

    Try this fix: Open the list in SharePoint using the same account you're using in Copilot Studio so it shows up in Recent Lists, then add it again. Alternatively, you can paste the list URL directly in the dialog.

     

    Important limitations for SharePoint lists as knowledge sources:


    • Document libraries aren't supported

    • List views can't be selected

    • Lists with more than 12 lookup columns in the default view aren't supported (keep it to 12 or fewer)

    • Queries only return the first 2,048 rows

    • The Attachments column isn't indexed

    • You can add up to 15 lists per session

    • Glossary/Synonyms aren't supported for lists

    @S-Venkadesh: Method 1
    @Valantis: It won't show in Recent Lists because the list is provisioned by SharePoint Provisioning engine. Both the My Lists and Recent Lists in Microsoft Lists will only show the lists created using UI. The same error will happen if I try to use the URL. The list doesn't have any lookup column and doesn't meet any of those limitations.

    Hi @OverkillTV

    SPFx/provisioned lists aren’t blocked. If it’s not under Recent lists, paste the list URL.

    If that fails and limits aren’t hit, validate:

     

    Link format: use Share → Copy link (not browser URL).

     
     

    Auth: SharePoint access runs as the user; fix agent/user auth.

     
     

    Restricted SharePoint Search: if enabled, blocks generative answers.

     

    If still fail:

     

    Workaround: query the list via an agent flow (SharePoint connector/REST) Or open a Microsoft Support ticket for backend log checks.
